Violence Free Colorado is recognized as the state’s Domestic Violence Coalition. Our mission states- “Advancing the well-being of all Coloradans through relationships free from abuse and oppression”. We work at the local, state, and national level to create system-wide change by influencing policy and supporting direct service organizations with resources, training and technical assistance. We are committed to working in partnership with survivors and other anti-oppression movements to address the root causes and overlapping dynamics of violence. ABOUT THE POSITION
We are seeking a finance, operations, and grants manager to provide long-term stability for the organization. This role will evolve as we grow and will suit someone who is flexible, creative, and open to feedback. We’re looking for someone who is excited about stepping into a team during a time of transition and growth. Our ideal candidate will have the ability to hold a big picture of our mission while also balancing attention to detail. This position will provide expertise in finance/grant management and will work collaboratively to support the organization’s day-to-day operations. In keeping with our organizational core values, all members of our team must engage the work in a trauma-informed, culturally responsive way that centers accessibility, accountability, equity, and liberation.
ESSENTIAL JOB FUNCTIONS
Financial Management and Leadership
- With support from the executive director and in collaboration with the board of directors, hold primary administrative responsibility for the organization’s annual budget and audit processes
- Serve as a senior financial leader and advisor to the Executive Director and Board of Directors
- Oversee all accounting and finance operations, including general ledger, account payable/receivable, payroll, reconciliations, and monthly/yearly closeouts
- Monthly financial reporting including but not limited to:
- closing out monthly financials and providing all supporting income and expense documentation to accounting partner
- monitoring and managing bank account activities, monthly financial statements
- monitoring payments submitted through Stripe, and completing staff stipend voucher statements
- preparing monthly financial reports and updating forecast document for presentation to/review by Finance Committee and Board of Directors
- Day-to-day fiscal management including but not limited to:
- completing weekly expense allocations, processing and scheduling payment on bills and invoices,
- organizing vendor information, reviewing recorded charges in QuickBooks, and notifying accountant of any needed changes
- technical management of several tools, portals, tracking and allocation systems
- Lead the annual budgeting and forecasting process in partnership with Executive Director and management.
- Support the development of fundraising and financial strategies
- Manage the annual audit and ensure compliance with GAAP and non-profit financial standards
Grant Management & Reporting:
- Manage all financial aspects of Federal, State and local grants/contracts, monitoring spend-down, preparing reports, maintaining restricted funding schedules, ensuring fiscal compliance with funder requirements and timely submission of financial reports
- Maintain a calendar of financial responsibilities and prepare quarterly, semi-annual, and annual progress reports for grants
- Update line-item trackers, enter financial information into QuickBooks, pull financial reports for analysis, and align financial information for grant applications and grant closeouts
- Communicate directly with external grant managers about budget modifications, amendments, and the initiation and closeout of existing grants
- Technical management of several tools including a grants dashboard and calendar, a quarterly reporting checklist, a grant tracking channel in Teams, historical voucher documents, and accompanying financial reports in QuickBooks
Operations:
- Serve as point person for general office management including, but not limited to: managing contracts/licenses/subscriptions, serving as liaison to vendors, IT, and service providers
- Together with the executive director develop, document, maintain and communicate organizational processes and administrative onboarding for staff
Human Resources
- Oversee day to day HR functions, including payroll, benefits administration, compliance in coordination with external HR and benefits providers
- Manage the administration of timesheets, expense form processes, payroll, and benefits
- Assist with on-boarding, termination and on-going HR compliance in conjunction with Executive Director
- Support culture of trust, inclusion, and accountability through fair and transparent HR practices
- Partner with leadership to align organizational structure, compensation, and professional development
Membership:
- In collaboration with team members, manage recruitment and retention of Violence Free Colorado members (organizations and individuals)
- Participate in the promotion of coalition membership, member benefits and coalition programs and services
- Ensure timely completion of administrative tasks related to new and renewing members and payment processing, coordination of membership renewals, production of membership reports, updating membership data on website and in other the Coalition Manager database
Other Duties:
- Represent the Coalition by serving on approved committees and participating in national meetings and conferences
- Provide staff support for other Coalition programs, membership meetings, etc. as needed
- Some early, late and weekend hours will be necessary
- Other duties as assigned
REQUIRED QUALIFICATIONS
- Knowledge of and experience in non-profit finance/operations including the management of complex federal and/or state grants or awards
- Ability to tie together high-level strategy with on the ground implementation; understanding of how the details contribute to the big picture
- Excellent communication skills. Ability to communicate complex data clearly across knowledge bases and with a variety of stakeholders
- Strong organizational skills and ability to handle multiple priorities/deadlines
- Ability to adapt to new situations and change focus unexpectedly
- Ability to give and receive feedback in a manner that fosters healthy relationships
- Experience with Microsoft Office programs and databases, skilled with Excel and comfortable with large data set volumes
- Understanding of the issue of relationship abuse, including trends, opportunities, challenges for the field, and how domestic violence intersects with other forms of oppression
- Valid ID and driver license (or access to a licensed driver) is required
- Due to our funding sources, all staff must submit an I-9 at time of hire
PREFERRED QUALIFICATIONS
- BA, advanced degree in Accounting, Finance, Business Administration OR equivalent work experience in nonprofit management, financial management, and/or business administration
- Minimum of 5 years of progressive accounting/finance experience, with at least 2 years managing Federal grant programs.
- Experience in non-profit financial management, including restricted funds, grant reporting and grant compliance.
- Familiarity with Adobe Acrobat and grant systems like Zoom Grants, Flux, CORE, and JustGrants.
- Demonstrated success with fundraising campaigns
- Strong systems acumen- proficiency with QuickBooks, Microsoft.
- Working knowledge of HR practices
